Which Guide Should I Use?
- Event Presenter User Guide: app buttons, Room Console settings, windows, and Hotkeys.
- 4321 Timer User Guide: Console, Display, presets, Start/Pause, Reset, Blink, Sync, settings, and Hotkeys.
- This Operation Manual: approved room setup, app placement, operator roles, live workflow, recovery, and handover.
First 5 Minutes in the Room
- Identify your role: room operator, AV operator, technical support, chair, or organizer.
- Check the Room Setup page to see which device you are responsible for.
- Confirm whether this room uses Holding Slide, Speaker Launch Window, and 4321 Timer Display.
- Open the Before First Session checklist and complete it before the first session.
- If something does not match the approved setup, stop and escalate before the room goes live.
Roles at a Glance
- Room operator: operates Event Presenter, opens PowerPoint, controls 4321 Timer, selects presets, uses Pause/Blink, and keeps backup app state ready.
- AV operator: owns signal routing, projector or LED, confidence and chair monitors, recording equipment, picture/audio verification, and recording-media handover.
- Technical support: resolves device, application, event-access, and network/service problems.
- Congress organizer: approves audience timer policy, music, advertising, session timing rules, and Speaker Launch Window usage.
- Chair: owns session timing decisions and response to overtime cues.
