Operation Manual: Before First Session

Complete this checklist before the first session in the room. Repeat the relevant checks after long breaks or major setup changes.

Event Presenter and PowerPoint

  • Correct event, venue, date, session, and topic order are visible on the primary laptop.
  • Backup laptop is open to the same Event Presenter session when backup is part of the room plan.
  • All required presentations are downloaded and test-opened on every laptop that may be used.
  • PowerPoint trusted location has already been configured on every presentation laptop.
  • PowerPoint output, Presenter View, fonts, media, audio, and slide size are verified.
  • Holding Slide is tested according to the room scenario, including full-screen display on the assigned output.
  • Speaker Launch Window is tested according to the room scenario, including full-screen display when assigned to an output.

4321 Timer

  • 4321 Timer Console has joined the correct event and venue.
  • All required 4321 Timer Displays have joined the same room.
  • Correct Console and Display member counts are visible.
  • Presets are synchronized from Event Presenter and checked against the topic sequence.
  • Q&A automatic transitions are verified where configured.
  • Timer is visible only on approved speaker, chair, Presenter View, or operator devices.
  • Audience screen remains timer-free unless organizer-approved.

Recording and Media

  • Recording device receives the intended programme picture and audio.
  • Storage capacity is sufficient for the planned recording period.
  • Organizer-approved recording format is selected.
  • For Blackmagic, use 1080p ProRes Proxy when that is the approved event profile.
  • A test recording confirms picture, audio channels/levels, and file creation.
  • Advertising video and approved music track are ready.
